Information Management Part 2

Unit 13.4 and beyond

2

Unit 13.4 - Spreadsheets and Databases

They're very similar but...

  • Spreadsheets can be used to:

    • manipulate and organise raw data before putting it in a database.

    • predict trends (act as a modelling tool)

    • do math

    • display data

    • define and refine data

  • Databases can be used to:

    • Do whatever the spreadsheeet can do but can handle MORE data

Databases BETTER analyse and connect data than spreadsheets and are designed to do it more easily.

3

Multiple Choice

What is the main difference between a database and a spreadsheet?

1

Databases can do exactly what a spreadsheet can, but with more data and much faster.

2

Spreadsheets can do exactly what a database can, but with more data and much faster

3

They do exactly the same thing with no differences what so ever

4

Databases only handle tables and spreadsheets can work with numbers.

4

Multiple Select

When will you use a database rather than a spreadsheet?

1

For small amounts of data.

2

For when you don't want data to be connected.

3

For large amounts of data.

4

To connect data more easily.

5

Unit 13.5: Processing Data

  • Need to analyse data to find more relevant information

  • Manipulating data = process of sorting, arranging or moving data.

  • When manipulating:

    • Need to know how to use programs.

    • Might need more than one program.

    • Use sorting, formulae, functions and queries.

    • Video reminder on how to sort stuff in Excel: https://youtu.be/Ep5q1cUhQas

6

Extracting Appropriate Information

  • Use various tools and commands to extract information.

  • Difference in extraction between Excel and Access?

    • Excel would need us to use filters to extract specific information

    • Access can do the same thing with one query

7

Unit 13.6 - Analysing data and information

Need to analyse results and compare them to your focus question.

Best way to support or disprove your question is to look at trends and patterns.

We do this by adding data questions and looking for those trends and patterns presented in the answers.

Examples of data questions: How many? What is most popular? What is least common? How many more than? What is the average?

8

Trends and Patterns!

  • Final step!

  • Trends = general tendency to move in one direction

    • Downward trend

    • Correlation trend

  • Pattern = repeat itself in a predictable way or form a shape

    • Centred

    • Spread

    • Shaped

10

Multiple Choice

Which of the following is the last step of the information management process?

1

Presenting information

2
