Use this Acronym to Plan

S Situation

​Situation

  • Why are we doing what we are doing?

  • Who has asked?

  • What's the purpose?​

    ​Example: "every year, the school participates in the Terry Fox Run, the administration has asked that the leadership class plans the event"

​Aim

  • ​What is needed of us to do?

  • ​Give a one sentence explanation.

  • ​Should be very brief

  • "example: ​the leadership class will plan the terry fox run for the day of Sept ___. All students are expected to participate"

​Execution

  • ​Break your event down into phases:

  • ​Phase 1: SET UP

  • ​Phase 2: THE EVENT ITSELF

  • ​Phase 3: The clean up and wrap up​

​Support and Supplies

  • ​list any supplies you will need for your event (we'll be putting the cost in later)

  • ​List any people you will need help from

  • ​any transportation needed?

  • ​any pre-ordered equipment?

​Communication

  • ​Who is the "authority" in this event? Answer: principal or assistant principal

  • ​Who is the person who is truly in charge? Name that person so ppl know who to go to.

  • ​Who is in charge of smaller parts to the event? Example: stations, bringing in things

  • ​Are we contacting the media?

  • ​How do we tell the other teachers? What do we tell them?

  • ​are there members of the community we should involve?

​Time Table and Taskings

  • ​Time/Activity/Whose in Charge

  • ​Think about events that happen outside of phase 2 (example - set up and tear down)

​Supplies and Budget

  • ​List everything you will need for this event, including paper/pens/speakers/tables, etc

  • ​List the approximate cost of items (some the school will already have)

  • ​List any starting budget that you may already be aware of (has the principal given us an amount?)

​Don't forget the wrap up

  • ​what happens at the end of your event?

  • ​Who cleans up?

  • ​what needs to be done?

  • ​do we pass things on to the media?
