Essentially, if you are joining the team that is working on migrations, you will not be working on ServicePoint as others do at the moment.

Instead, you will have ​5 correspondence or checkpoints which you will send out to the client before their migration date.

​Part 1:

Part (Step) 1 is the initial contact.  This is usually sent out 8-10 weeks before the client's migration date. 

  • At this point you should know if anyone on the client’s end have enrolled in a General Ledger (GL) mapping class.  The 1st letter is sent out to the client to confirm if they are the one taking the class or/and to redirect us to the correct person who will be taking the class.

​Part 2:

Part (Step) 2 is the consult letter. 

  • After the client has gone through their GL mapping class, you will send out this letter to schedule a consult to go over their mapping spreadsheet.

Part 3:​

 

Part (Step) 3 is the matrix approval letter. 

  • After mapping their accounts from their mapping spreadsheet to the test site, you will download and reorganize their GL matrix. 

  • You will send the client the GL matrix and have them approve everything is correct. 

  • Once you get the client’s approval, send it into production. 

  • Ideally, this should be done 2 weeks before migration.

Part 4:

Part (Step) 4 is where you schedule your daily 1-hr call for 2 weeks to help them get through balancing on their own in the new system.

Part 5:

Part (Step) 5 is the closeout letter. 

  • Some IPS don't send this out because the PM usually doesn't let them know when the client gets handed over to their client service representative. 

  • Even when they are handed over to their representative, the client may continue to contact you because they are used to you.  This happens because you will know how their balancing works.
