Using forms to
collect data
Advantages and Disadvantages
22
Form
document with headings and spaces to collect data.
can be paper-based or electronic
23
Advantages
Everyone fills in the form in the same way.
This makes it easy to compare answers.
A form can have different types of questions such as Checkboxes and Multiple-choice for easy completion.
This reduces the amount of writing.
It is easy to make a copy of a form.
Forms can be easily sent to lots of people to collect data.
A form can gather the correct type of data.
It is a fast way of collecting data.
24
Disadvantages
It takes time to design a good form.
Questions have to be written very carefully.
If they are not, it can mean getting the wrong data.
It costs money to copy paper-based forms.
People must have a device to complete electronic forms.
Forms can contain private data.
Care must be taken to make sure the wrong people cannot access the form.
If paper-based forms are destroyed, the data may be lost.

Data vs Information
What is the difference?
35
Data
Data can be in the form of numbers, letters, symbols, images and sounds.
Data on its own has no meaning or context.
It is unorganised. This raw data needs to be processed to produce information.
36
Information
For example, if the heights of students in a class are processed by a computer, we can get information such as:
the tallest student in class
the shortest student in class
the average height of the students in the class.
Information is useful because it is organised and has some context and meaning.
37
raw data: not processed
information: processed data
38
39
Data are simply values.
They do not have any meaning
They have not been interpreted
They have not been compared to other values
They have not been used for a calculation.
For example, 1 and 3 are just data.
Information comes from comparing data, or using it to do a calculation or a sort.
In our example, while 1 and 3 are data, the following are examples of information:
‘3 is bigger than 1’
there are 2 numbers in total,
the sum is 4,
the average is 2.
