Verify if the PPE items were already disposed with supporting IIRUP or transferred/donated with supporting PTR

Submit to the Accounting Unit the original copies of the IIRUP and/or PTRs for recording in the books of accounts

Take necessary accounting entries to derecognize disposed/transferred/ donated PPEs, based on submitted IIRUP and PTR

If there is a pending Request for Relief, such fact shall be indicated in the “Remarks” column of the list of Non-Existing/Missing PPEs

Take up the necessary accounting entries to recognize the loss of PPE and set up receivable from concerned AO

Inform the Head of the Agency of the non-existing/missing PPEs without pending Request for Relief

Prepare Demand Letters signed by the Head of the Agency or representative to concerned AO (which shall be given 5 CDs to respond) demanding the production of the PPE

After gathering all the necessary information by performing the preceding procedures, submit to the Accounting Unit the List of Non-Existing/Missing PPEs with complete information on which PPEs could not be produced upon demand and those that have pending Requests for Relief, including the name of the AO

Produce the PPE within 5 CDs from receipt of Demand Letter

Produced PPE shall be indicated in the List of Non-Existing/Missing PPEs by the Property Division/Unit, and inform the Inventory Committee to amend the RPCPPE
