We increasingly use multiple different devices when using computers.

To help us with this we might use cloud storage and file servers.

There are impacts to this though, including:

• Access
• Cost
• Implementation
• Productivity
• Security

Using and storing data across multiple devices can cause some impacts on businesses.

ACCESS

Data stored locally on one device wouldn’t be accessible on another
device.

• e.g. you’ve done some work at home and stored the data on your home desktop

computer, you wouldn’t be able to access it when you’re working on your tablet
while commuting to work.

Even data stored on cloud storage or file server may not be
accessible.

• e.g. the server goes down, or you lose your internet connection.

When storing data across multiple systems you may not be able to gain access when you want to use it.

COST

Storing over multiple systems can cause data replication.

• This means we’re wasting storage on redundant data, increasing storage costs.

Purchasing file servers or subscribing to cloud storage services will cost.

You may also incur costs due to loss of productivity if you can’t access
data.

Storing data across multiple systems can lead to increased costs to a business.

IMPLEMENTATION

Centrally storing data so it can be accessed on multiple devices is common.

This would require setting up a file server and the networking to access it.

Implementing these systems will:

• Take time
• Require extensive testing
• Cost to set up and maintain.

You may need to implement systems to allow for accessing data on multiple systems.

PRODUCTIVITY

Storing a file on a device you don’t have access to prevents work.

Locating files may waste time and will also take time transferring
files.

You may also have multiple versions of the same file.

• This leads to wasted repeated work.
• Proper version control is needed to avoid this.

Storing data across multiple systems could have a major negative impact on productivity.

SECURITY

Storing data on multiple devices means more chance the data could be
accessed.

Storing on a cloud server could allow someone to access file from anywhere.

Data could also be stolen while being transferred between devices.

An infected file that is being used on multiple devices can easily spread.

Using and storing data across multiple systems can lead to some serious security issues.

BACKUP & RECOVERY PROCEDURES

Businesses can often suffer data loss, either accidentally or maliciously.

Large data losses will often cause a business to fail.

They must take regular backups in order to recover from data loss.

There are several factors to consider when deciding on a backup procedure:

• When to backup
• What to backup
• Where to backup

The loss of data can be disastrous for a business. | We need a way to recover the data lost.

WHEN TO BACKUP

Backups can be extremely resource-intensive tasks.

This can lead to slower computer and network performance.

The business must decide how often they need to backup.

• Hourly, daily, weekly or monthly.

Backups are best timed when businesses are not open.

How often should you backup? | What time or day should you backup?

WHAT TO BACKUP

If we only backup data we need then this must be completed quicker.

There are three main types of backup:

• Full backup - a complete backup of all your data.
• Incremental backup - a backup of the data that has changed.
• Differential backup - A mixture of the previous two.

Do you need to backup every thing, every time?

WHERE TO BACKUP

Backups need to be stored in a safe location.

Storing remotely protects the backup from whatever damaged the original copy.

Remote storage may put increased pressure on our connection.

• Transferring the files will use bandwidth and possibly data allowance.

Storing backups remotely cause security issues, like data theft in transit.

Backups should be stored remotely. | This can cause issues though.
