What is
correspondence?
Correspondence is a form of communication
written from one person to another or a
group of people with a purpose. It can be
in the form of:

And it always conveys a purpose - a reason
for writing the letter.

Why might someone
write
correspondence?
Correspondence is used to COMMUNICATE a
PURPOSE. Some of those purposes include:
●Persuasion - a call to action
●Information - conveying information about a
topic
●Explanation - details about a topic
●Connection - catching up on events
●Recommendation - suggesting someone or
something to be put into place
It all depends on the connection or
relationship between the sender and receiver of
the letter.

Greeting/Salutation
This will include some form of
addressing the receiver of the
letter and may include their
location details depending on the
form of the correspondence.
Body
This is where the sender writes
their message that should convey
their overall purpose. It can also
be used to acknowledge the receiver
as well and extend a friendly
greeting.
Closing
This will be how you end your
letter and “sign off.” Often this
can be done with simple word or
phrase to signal that the letter
has come to an end.
Signature
This will include some form of
sender representation, most often
a name and a written signature. It
may also include a person’s
professional title.

Should be used in professional settings
and any time you are addressing someone in
a professional organization. When in
doubt, use formal tone!
Informal Tone
Should only be used in a nonprofessional setting
and only when you are addressing someone you are
very close with and have established a personal
relationship with. Formal tone can still be used
even with a personal relationship!
