What is an EVC?

• No - there are only guidelines and the number of adults required will be confirmed by the EVC, taking into account a range of factors including the students, location and nature of the visit.

• Yes - the ratios are stipulated by law dependent on the age of the students and the EVC can tell you what these are if you forget.

What do you do if a parent wants to collect their child from the visit venue?

• The student is a sixth former and can meet their parent.

• Ensure the parent has sent a copy of their ID and ask them complete the Transfer of Duty of Care form on collection.

• Meet the parent with the student at an agreed location and carryon with the trip.

• Advise the parent that this is not possible and the student must return to school on the coach.

How could you ensure that your group is easily recognisable?

• Ask them all to wear brightly coloured clothing.

• Ask them to wear yellow hats.

• Provide students with a lanyard to wear.

• Ask them to stay with their group leader.

How often should you carry out a headcount of the pupils?

• Whenever you get on or off transport, before leaving a venue and at regular intervals during a trip.

• Once before leaving the school and at least once before leaving the venue.

What information MUST you LEGALLY carry on a trip with you?

• Full list of group members and the contact details of their parents/guardians.

What is the minimum required for First Aid during a trip?

• You must carry a First Aid kit.

• There must be someone in charge of First Aid and there must be a suitably stocked First Aid kit.

• You must carry a First Aid kit which includes paracetamol, ibuprofen, sun lotion and treatment for bites or stings.

• There must be a qualified doctor or nurse at the venue.
