#1 Expectation - Absence from Duty
When a certified staff member is absent for any reason, he or she must contact the Absence
Management System either on the web- http://aesoponline.com/login2.asp , on your
mobile device- http://m.aesoponline.com or by phone at 1-800-942-3767, to arrange for
a substitute. Teachers are also asked to call or email their Department Head. If there will be a
long-term illness, please contact Linda Moeller at (402-715-6093) for a specific substitute. If
you need further assistance, call the Millard Substitute Line, 402-715-8220.
For planned absences, fill out the electronic absence request here
Teachers’ plan books, seating charts, or access to Google Classroom/Sites should be kept in so
that a substitute can find them and follow through with the work planned. Green sub cards
need to be kept in the administration office. Teachers need to keep green emergency sub files
in their top drawer.

#2 Expectation - Professional
Boundaries
Board Policy 4153 & 4153.1 - Communications with Students - Professional
Boundaries
All electronic communication with students will only occur through the District e-mail
system or District-approved communication systems.
The following non-exclusive list of actions will be regarded as a violation of the
professional boundaries and staff relationships with students that employees are
expected to maintain with a student includes, but is not limited to:
●Text-messaging students, unless the student is a child or family friend of the
employee.
●Any communication with students in an inappropriate, immoral, or unethical
manner.

Board Policy 4153 & 4153.1 - Communications with Students - Professional Boundaries

student is a child of the employee or family friend. Material that employees post on social networks that is

employee’s position and not impair the employees capacity to maintain the respect of students and parents or
impair the employees ability to serve as a role model for students.

#3 Expectation
Board Policy (7400.2) - Retention of
Board Policy (7400.2) Retention of Electronic Mail (E-mail) Records
● “The district shall take steps to ensure the retention of District electronic (e-mail)
records that are deemed public records in compliance with the applicable state
laws.”
●Email should be treated as though a copy is being sent to everyone (including the
community, supervisors, etc.).
●Maintain Confidentiality
●Privacy - There is no such thing as private email. The Courts have even
considered school email public documents.

#4 Expectation - Flex Time
Flex Time
Flex time is a designated time built into the school day, not occupied by new
instruction, that provides an opportunity for students to get specific help.
●All teachers are available to all students during this time.
●All teachers should set the classroom culture and routines for students to use this
opportunity for support or reteaching.
●All teachers should explicitly instruct students on habits and skills for flex time
success.

#5 Expectation - E-Hall Passes
E-Hall Passes - Modern Hallway Management- No student should be out of the
classroom without a digital pass. In the event of an emergency, the administration
office or health office should know a student needs assistance.
●Reduce classroom disruption by allowing students to digitally create the pass
and await approval.
●Enhance accountability for student whereabouts by tracking how long a
student has been out of the classroom.
●Pass System for Flex Time through appointment passes.
●Limit hall traffic and students meeting up in the halls
●Data for student meetings by tracking time and frequency in the halls.

#6 Expectation
Board Policy 7500 - Student Cell
Phones
Board Policy 7500 - Classroom teacher will develop rules consistent with the building expectations and
communicates the rules with students.
●Student use of cell phones/personal technology devices is permitted during passing periods and in the
Commons during lunch.
●Each student is provided a district issues digital device to facilitate learning.
●During class instruction, all cell phones/personal devices will be turned over to the classroom designated
storage/charging stations.
●A classroom teacher may permit use of personal technology devices during class time for instructional
purposes only. A classroom teacher may also allow students to have one phone break.
●A parent can always make an emergency contact to their student by calling the attendance office.
●Each teacher will communicate a system of how cell phones will be turned over or put away.

#7 Expectation - Taking Attendance
Attendance
The taking of attendance is required for each class. The teacher must take
online attendance each period right away. If a student arrives after taking
attendance, the teacher should mark the change to tardy. If a student
comes in after 30 minutes attendance has been entered, the teacher should
leave the student record as absent and notify the attendance office that the
student has arrived..

#8 Expectation- Plagiarism
●Academic Dishonesty/Plagiarism occurs when a student or students engages in intentional unethical behavior to produce academic work which does not accurately
represent the students true or actual knowledge of content or a skill.
Types of Academic Dishonesty defined:
●Cheating-Using or attempting to use unauthorized supplementary materials or information on a quiz, test, or other graded item. Examples include but are not
limited to use of a cheat sheet, use of class notes, copying from a classmate, obtaining a copy of a test or test key, electronic communication, etc.
●Plagiarism-The practice of claiming, or implying, original authorship or incorporating material from someone else’s written or creative work, in whole or part, into
one’s own without adequate acknowledgement/citation. Examples include but are not limited to using your own words to paraphrase from someone’s original
work, representing in part or whole someone’s original work as your own, use of inaccurate or falsified citations, etc.
●Facilitation-Helping or attempting to help another commit an act of Academic Dishonesty. Examples include but are not limited to completing academic work for
another student, allowing another student to copy from an exam or other work providing previously completed assignments to another student to be resubmitted
for credit, sharing test questions or other academic information with another student, etc.
●First Offense- Depending upon the severity, student(s) may be issued a grade of zero or asked to re-do the assignment or assessment for a possible reduced grade.
Teacher will also contact parent or guardian and enter a discipline referral in Synergy as part of the student behavior record. Dependent upon level of severity
student(s) can also face up to a 19 day suspension from school and activities.
●Multiple Offenses-Depending upon the severity, student(s) may be issued a grade of zero or asked to re-do the assignment or assessment for a possible reduced
grade. Teacher will also contact parent or guardian and enter a discipline referral inSynergy as part of the student behavior record. Dependent upon level of severity
Student(s) can also face up to a 19 day suspension from school and activities.

Educational Materials and Policy 1105: News Media and Rule

professional publications. We also want to know when you submit an article so we
are aware of all the great insights and work you've accomplished. We want to
celebrate you and your work! As requested by Board Policy 4310, please submit a

Federal Educational
Rights and Privacy Act
Federal Law
Protects the privacy of student education
records. The law applies to all schools
that receive funds from the U.S.
Department of Education.
Privacy
Parent or eligible student must give written
permission for the release of information
from a student’s education record.
Directory information is not considered
private. Directory information includes:
name, address, telephone, birth
information, list of activities and dates of
attendance
Records
FERPA allows schools to disclose records,
without consent for the following:
●To school officials with legitimate
educational interest;
●Accrediting organizations;
●Officials for health and safety emergencies;
●Authorities of the juvenile justice systems.

As a general rule...
Any student records or information that is visible to the parent through a
portal or school information system such as Synergy may be provided to
the parent or legal guardian upon request.
When a third party is requesting information about a student, or a parent
is requesting information about a student who is not their own, please
refer them to a building administrator.

handling of student data and/or approved digital resources, please consult
with your immediate supervisor. It is always better to error on the side of
caution as it is very difficult to “pull back” the information once it has been
released.

Scenario
You leave your room for a few minutes during your planning time. Before
you left, you were working with personal student information but you did
not lock your computer. While you were gone, an unauthorized person
came into your room and retrieved some student information from the
computer screen.
Under FERPA, is the school responsible?

Scenario Answer
Yes, the school is responsible. Information on a computer screen should be
protected the same way as printed reports. Computer programs with
confidential information should be closed when you are not using them, and
computers should be locked when you leave the room. Printed materials should
be filed in a secure place, and not simply left out on a desk.
The medium that holds the information is not important under FERPA laws -
information should not be left accessible or unattended, including computer
screens.
